T-Shirt Sample Handover: What Your Designer and Buyer Should Approve Together

Designers and buyers often review different parts of a T-shirt order. The designer may focus on artwork while procurement checks quantities and cost. A joint sample handover connects those decisions and reduces the chance that an attractive design is approved on an unsuitable blank.

Agree one physical reference

Identify the blank model, color and size used for artwork approval. Confirm that it represents the garment being quoted. Review fit, fabric appearance and the decorated area together. If a supplier changes the blank after artwork approval, reopen the decision rather than assuming the previous approval applies automatically.

Record responsibilities

Name who approves artwork color, placement, garment measurements and order quantities. Keep unresolved points visible. A designer's approval of a graphic should not silently become acceptance of delivery terms or inventory substitutions. Procurement approval should likewise not replace the wearer's feedback on fit. Clear responsibilities reduce ambiguous sign-offs.

Package the final specification

Keep the accepted sample, final artwork file, placement dimensions, size mix and quotation reference together. Explain what supersedes earlier versions. At receipt, use this final set to check the shipment. For reorders, confirm the current blank and decoration method against it before asking the supplier simply to repeat last time.
