Custom vests can help visitors recognize event staff and volunteers without requiring everyone to wear the same clothes underneath. To choose the right vest, start with the team’s tasks, the expected layers, and the information guests need to see. Then compare pockets, closures, branding space, and available sizes.
A registration volunteer may need somewhere to keep pens and a small notebook. A roaming host may care more about freedom of movement and a readable role label. Buying one style for the whole team works best when you check those differences first.

Start with the Roles You Need to Identify
List the people wearing the vests and the work they will do: registration, visitor assistance, promotional activity, or general event support. Decide whether every role needs the same appearance or whether a small number of clearly explained variations would help.
Keep the identification system simple. A role word such as “VOLUNTEER” can communicate more directly than a logo alone. Check the proposed design from the distance at which visitors will approach the team, and avoid relying only on color to distinguish roles.
Ordinary identification vests should not be treated as protective clothing. If a task has specific visibility or other protective requirements, specify those separately and obtain suitable verified equipment.
Choose Colors That Work with Your Branding
Compare the garment color with your logo and the clothing worn underneath. A design that looks clear on a white screen may lose contrast on a dark vest. Review the actual color combination before approving the decoration.
If several teams use different colors, keep a written record of which color belongs to each role. For recurring events, consider whether an organization name will remain useful longer than a date-specific slogan. Ask about repeat availability, but reconfirm stock when placing each order.
Do not assume a screen image is an exact color reference. Request a sample when matching existing uniforms or brand colors closely matters.
Check Fit over the Intended Clothing
A vest worn over a T-shirt indoors may fit differently over a sweatshirt outdoors. Ask participants what they will wear underneath, then compare the selected model’s measurement chart with that requirement. Size names alone are not enough.
During a try-on, zip the vest fully and ask the wearer to reach forward, lift their arms, bend, and sit. Check the chest, armholes, and hem. The vest should allow the movements needed for the job without pulling or hanging awkwardly.
Collect quantities by size rather than ordering equal numbers automatically. For shared volunteer garments, plan the size mix around your expected team and keep a clearly recorded allowance for replacements or late additions.
Make Sure the Pockets Are Useful
Try the actual items staff will carry. Pocket dimensions, openings, and closures matter more than the number of pockets. Check whether a notebook fits comfortably and whether the garment becomes distorted when the pockets are loaded.
Large open pockets offer easy access, while a closure may be helpful for items that should stay contained during movement. Inspect the model you are ordering rather than assuming every utility vest uses the same pocket design.
Also test the front zipper. It should operate cleanly without catching the lining or fabric. Look at stitching around pocket corners and other frequently handled areas when reviewing the sample.

Approve Logo Placement on the Actual Vest
Send the artwork with finished dimensions and the preferred position. Keep important text clear of the zipper, pocket openings, and seams. Check whether lanyards or other equipment will cover a chest logo during use.
Ask the supplier to recommend a suitable decoration method for the fabric and artwork. Compare the result on a sample where appearance is important. A digital layout can show approximate placement, but it cannot demonstrate the texture or feel of embroidery and printing.
For a reusable team garment, review care instructions and agree on a wash check before the bulk order. Inspect the garment and decoration after drying, and record any changes needed before final approval.
